Minutes of Meeting

Officers Present: President/Former President, Ron Looper; Vice President/President, Dennis Lynch; Secretary, Jean Gibbs; and Treasurer, Ken Wilson.
CLUB DELEGATES: Diane Messer, Annapolis; Lynn Haffner, Freestate; and Sandy Lynch, World Wide Volkssport and Diamond State.
COMMITTEE CHAIRS: Ron Bowers, Future of the Sport; Rich Long, Audit.
GUEST: Fran Looper.
- The meeting was called to order at 12:30 p.m. by President Ron Looper, and it was determined a quorum was present. Thanks were issued to CBCW and Rich Long for arranging the meeting place.
REPORTS
- Minutes of the previous meeting were published online by Dennis Lynch and were approved as written.
- Treasurer Ken Wilson distributed the Proposed Budget for 2005, 2004 Balance Sheet and Profit and Loss Statement, and monthly Financial Statements for December 2004 and January, February, and March, 2005. With the inactive status of the Appalachian Trekkers, the MVA is now sponsoring two events in Western Maryland. As a result, the Budget was amended to reflect receipts and disbursements for four (4) Rediscover Maryland Events and the figures were modified accordingly.
COMMITTEES
- Due to the absence of Sanctions POC Jim Fons there was no update. No problems have been reported with electronic sanctioning.
- The Rediscover Maryland program is going very well with 239 registered participants.
- Submit any by-laws suggestions to Bill Guion.
- Sandy Lynch reported communication with the PG County Gazette which will run an article and will be at Rosaryville.
- Audit results received from Audit Committee Chairman Richard Long indicate records for 2003 and 2004 were inspected and reviewed, and no discrepancies were noted.
- Future of the Sport Committee Chairman Ron Bowers reported on participation figures for YRE and regular events for the past several years, indicating a decline in participation in both.
NEW BUSINESS
- Ron Looper submitted his resignation from the Presidency and announced Dennis Lynch will assume this position. At this point Dennis began presiding over the meeting.
- Ron Bowers reported an inventory of MVA badges and pins. Following discussion, a motion was made and seconded that each Maryland club will be offered 10 pins and 10 badges to be given away or sold at their discretion. The motion passed.
OLD BUSINESS
- The RD election will be held May 7 at the Rosaryville walk.
- A motion was made, seconded and passed to continue the C&O events through 2006.
- Club convention forms for clubs with no delegate present will revert to the MVA. All clubs are in good standing and eligible to vote.
- A motion was made and seconded that the MVA donate $500 to the AVA specified for computer/data base enhancement. The motion passed.
- Dennis Lynch will serve as the MVA delegate to the convention, and Ken Wilson will be the alternate.
- After-action reports:
- Ken advises there is still a problem with reporting non-IVV participants.
- Any amount submitted above that which is required becomes a donation to the MVA.
- Clubs are required to keep a copy of the after action report.
- Use a separate report for each event.
- Send all year-rounds/seasonals in one check.
NEW BUSINESS (revisited)
- The MVA is in need of a Vice President. Please spread the word and advise Dennis Lynch of anyone who may be interested.
- A motion was made and seconded that the MVA delegate to the convention will vote at his discretion. The motion passed.
COMMENTS
- Club delegates reported on their respective clubs.
- Please include MVA on brochures, which must be approved by President of MVA.
- Ken acknowledged the good job done by the auditor.
- No date has been set for the next meeting. It will likely be held between the end of July and mid-August.
